Overview

On July 24th, 2024, some user account tasks and settings managed by Marketscape CRM account administrators will be moved from the CRM Settings page within Marketscape CRM to the more centralized Marketscape Admin tools. This transition is part of an overall move to centralize all admin function in a single location - Marketscape Admin.

This article is for Marketscape CRM administrators to familiarize themselves with the transition with focus on the impact of changes to take place on July 24th, 2024.

 

Marketscape CRM Settings are located in a page internal to Marketscape CRM and can be opened by clicking on the "Settings" button in the left navigation. The settings in this location are specific to Marketscape CRM
Marketscape Admin is a separate website found at Admin.TrellaHealth.com or from within Marketscape Insights. The settings in this tool apply to all Trella Health Products.
How to gain access to both admin locations are described below.

 

The following table shows the location for user account settings after that date:

Territory settings are not available in Marketscape Admin tools.	Add or remove Territory Market Data Territory Territory settings can only be managed in Marketscape CRM.

Where are user settings located?

In Marketscape CRM

Summary

If you are logged in to Marketscape CRM, click on the "Settings" button in the left navigation, then click on the "Users" link in the Territory Management section.

The page will display your company's users of Marketscape CRM in the "Active Users" table.

If you want to look at the settings for a specific user, click on the "View" link.

If you want to make changes to a user's account, click on the "Edit" link.

 

In Marketscape Admin

Summary

There are two ways to get to the Admin Tools for the Marketscape platform:

1) Navigate to Admin.TrellaHealth.com and log in using your Marketscape login credentials.

2) Login to Marketscape Insights.

Click on the small menu dropdown at the top of any page, then click on the "Admin" link. See image below.

The Admin Tools page will open.

 

Creating a New User after July 24th

After the transition, account administrators will not be able to create new users from within Marketscape CRM > Users. The "New User" button will be gone. See image.

In order to add new users, account administrators will need to log in to Marketscape Admin. The instructions to do so are above.

Once you have logged in to Marketscape Admin, click on the "Users" button in the left navigation.

 

Click on the "Add User" button near the top left of the page. -

The "Add New User" Dialog box will open. 

The following table demonstrates the new user set up process. To simplify the content, we have broken the table into four sections. To see the complete image of the dialog box, click here.

 

Adding a new user - process summary
Basic User Information Add the user's company e-mail address. The user will use this email address to log in. The Title field is not required but it is helpful in identifying what roles to assign to the user First Name/Last Name - These are required fields You will see your company's name in the Company field. Expiration - If you have a user who will only need the account until a certain date, add an expiration date.
Management relationships There are two options for "User Type" - Default or Manager (See image below) If you select "Manager" the "Users Managed" section opens so you can add other users to the manager's team. (Top image at right) If you select "Default", the interface shown in the bottom image to the right allows you to choose the new users manager in the "User Managed By:" dropdown. You do not need to set up these relationships when the user account is created - you can set up manager relationships later. Enabled Checkbox - If this box is checked, the user will be able to log in and use the assigned products. When a user leaves your company, you would want to remove this check box Send Welcome email - When creating a new user account, if this checkbox is checked, the user will receive an email at the email address included above. Products Setup This section has two steps: First, you will add the products the user needs access to. In this case, we have added both possible products, Marketscape CRM and Marketscape Insights for Hospice. Click on the product in the left window and click on the "Add Selected" button  You will see any products that your company has contracted for; you can choose any combination of products for each user. Second, when you add a product, the Market interface for that product will open. This will allow you to set up which states the user will have access to for each product. Click on the desired state in the left window and click on the "Add Selected" button   You will see states that your company has contracted for; you can choose any combination of states for each product for each user.
Roles (Access Permission) Roles provide different access for each user. The role settings you see in this section will depend on which products you have chosen above. In Marketscape Insights, only one role is necessary, but at least one role is required. Click on the role in the left and click on the "Add Selected" button. For more information on roles for Marketscape Insights, see User Account Security Settings. In Marketscape CRM, you might need to assign more than one role. At least one role is required. Click on the role you want to add and click on the "Add Selected" button.  You will still be able to manage roles from within Marketscape CRM. For more information on Roles, see Role Management and Configuration.	Remember to click the "Save" button when you are done!
Additional things to consider Once a new user is set up for Marketscape CRM, you will still need to set up their territory and Market data territory. For more information, see Sales Territory Configuration and Step 1 - Territory Management. If you have a lot of users to add, you should consider using the Bulk Upload feature. For more information, see Bulk User Import.

 

Editing an Existing User

To make changes to an existing user account, Log in to Marketscape Admin and click on the "Users" button in the left navigation. In the list of users, click on the pencil icon to the left of the user's email address in the table. The "Edit User" dialog box will open.

Most of the settings in the "Edit User" dialog box are identical to what are available when you create a new user account. The image below shows the differences.

• Remove the check in the checkbox to disable a user's account.
• The top box is where the checkbox for "Send Welcome Email" was when you created a new account. This has been removed the following option now exists.
• In the bottom box, click the "Resend Welcome Email" button to resend the email that the user received when you created the user account.
• In the bottom box, click the "Reset Password" button to reset the user account password. You would do this in response to a request from a user who has forgotten their password and allows you to quickly provide a new password for the user. Clicking the button opens the following dialog box.

Create a simple password for the user and let them know the password you created. The next time they log in, they will be required to use the password you created and make a new one.

 

Managing Roles in both applications

After the July 24th transition, an account administrator will be able to make changes to CRM roles in both locations.

In Marketscape Admin

To make changes to a user's roles in Marketscape Admin, follow these steps:

• Log in to Marketscape Admin.
• Click on the "Users" button in the left navigation.
• Click on the pencil icon to the left of the user's email for the account you want to update.
• The "Edit User" dialog box will open
• Scroll to the bottom - The CRM Roles interface is the last feature.
• Add or remove roles by selecting the roles and using the buttons 

In Marketscape CRM

To make changes to a user's roles in Marketscape CRM, follow these steps:

Click on the "Settings" button in the left navigation

Click on the "Users" link under the Territory Management section

Click on the "Edit" link to the left of the user's name for the account you want to update.

The Edit User page will open. See the table below.

Add a Role - Click on the "Add Role" link.  A new Role field with the available options will open below - . You can then click on a role in the list to add it to the selected user's account. Remove a Role - Click on the "X" button to the right of any existing role in the selected user's settings. Click the "Save Profile" button when you are done. Changes you will see in Marketscape CRM

Manage Users page - New User button removed

To create a new user account, an account administrator will need to log in to Marketscape Admin.

 

User Details page - Delete button removed

On the Manage Users page, when you click on the "View" link to the left of a user's name, the User Details page opens.

On the User Details page, the "Delete" button will be removed.

To disable a user, an account administrator will need to log in to Marketscape Admin, edit the users account and uncheck the "Enabled" checkbox.

 

Edit User page - Name and Email read-only

On the Manage Users page, when you click on the "Edit" link to the left of a user's name, the Edit User page opens.

The First Name, Last Name, and Email Address fields will be read only.

 

To change name or email for a user, an account administrator will need to log in to Marketscape Admin, edit the users account and make any changes required.

 

Settings > Account Info page - Content read-only

On the Settings > Account Info page, the fields will be read-only. The "Save" button will be removed.

 

My Profile page - Name read-only

 

Changes to these field must be done in Marketscape Admin.
