One of the benefits of Marketscape CRM is the ability for your company to provide a unified experience to your referral sources across all reps. This means that everyone has access to the information that they need to ensure that each encounter is relevant and meaningful, even when the "regular rep" is out of office.
If you're covering another rep's territory temporarily, here are some best practices and tips on how the system works, so that you can work with your team to find the best coverage option(s) for your needs.
Work as a Team
Follow up with your manager to confirm your role permissions. The Spark system is configurable for many different needs, some of which impact your visibility to see another marketer’s notes on Accounts and Contacts - even if you share ownership!
- In the example above, you may not be able to see their historic call visit notes in the Spark apps; if this is the case, the manager can run a Daily Visit Report for a past date range that's applicable to your situation, and then export it for you so that you have the notes available. It is critical that you speak with your management team before deploying this option, as the settings provisioned in Spark could be set up intentionally to prevent unintentional release of PHI.
You should also follow up with the marketer that you're covering. You may only need to cover certain "high priority" events, for example, or certain event types. Have a clear understanding of what you'll need to put on your calendar, and for how long.
We recommend scheduling and completing "temporary coverage" events in the web application.
- The scope of the web app is much broader than mobile, by design, which means it will likely be easier for you to locate the applicable Accounts and Contacts through the ACE Process and add them your calendar if you don't own them yourself.
- Following ACE on the web also allows you greater use of different event types which would be limited in mobile.
- When you complete an event that you've scheduled / you own, even for an Account or Contact that you don't own, the event will persist on the calendar. This means that you will be able to see your notes later on, and the event "credit" will be in your name.
All of these scenarios are in place because Ownership is foundational to the Spark experience. When you own a record - Account, Contact, or Event - it is in your name specifically, therefore you have visibility and control in both the web and mobile apps. Ownership control not only helps ensure that PHI is secure across business lines or territories, but also helps optimize the mobile experience by filtering out records that are outside of your BOB.
