Overview
Marketscape CRM uses the terms "ownership" and "shared owner" to indicate assignment of accounts, contacts, and referrals to a person within your agency. From time to time, there are circumstances where the ownership of these records needs to be requested (such as when a record already has a shared owner). This article discusses how to request ownership. Ownership change requests are then approved or denied by your organization's account administrator or an authorized manager.
If your agency's Electronic Health Records (EHR) system is integrated with Marketscape CRM it may be possible that ownership assignments are dictated by that system and not changeable directly in Marketscape CRM. Contact your account administrator with any questions.
From the Accounts / Contacts / Referrals View
In the image below, one account executive is the shared owner of a few accounts outside of his sales territory. Since the accounts fall into her sales territory, another account executive would like to request ownership of these accounts. The following steps are appropriate for accounts, contacts, and referrals:
- Navigate to the Accounts tab (or Contacts or Referrals)
- From the Change View drop-down, chose the view that shows all records.
- In the Search box on the left, search for the record (for more information on searching views, click here).
- Once the desired record is listed, check the box in the furthest left column for that record.
- From the Bulk Actions drop-down, choose Request Ownership.
- Confirm the request in the pop-up window.
From the Request Owner Change Report
This process can also be started (and tracked) through the Request Owner Change report found on the reporting tab. The caveat with starting the process through the report is that only records that are assigned to an Unassigned User owner can be requested. To request ownership through this method:
- Navigate to the Reporting tab in Marketscape CRM.
- Click on the "Request Owner Change" report.
- In the Request Status drop-down, choose Unassigned.
- Choose the appropriate object (accounts, contacts, or referrals) from the Object drop-down
- Click Run Report.
- Any unassigned (or ownerless) records will be listed.
- Check the boxes next to the records for which you want to request ownership.
- From the Bulk Actions drop-down, chose Request Ownership.
- Confirm the request in the pop-up window.
To check on the status of an ownership change request
- Navigate to the Reporting tab in Marketscape CRM.
- Click on the "Request Owner Change" report.
- In the Request Status drop-down, choose My Requests.
- Choose the appropriate object (accounts, contacts, or referrals) from the Object drop-down
- Click Run Report.
- Requests will be listed, and approved requests will be marked in the "Approved" column (far left).
Approved ownership change requests will also be featured in the Activity Feed of the Marketscape CRM mobile application for Android and iOS.
