There are two ways to search for specific records in Marketscape CRM. You can search for:
- Providers (contacts or accounts)
- Orders
- Referrals
- Patients
- Expenses
- Notes (Global search only)
In this article
- Global Search - this tool can help you track down most items of interest with a couple clicks
- Page Search - In pretty much every case, if you know what record type you are looking for, opening the matching page in the left navigation will get you to the results you want quickly.
Global Search
At the top of every page in Marketscape CRM, you will see a field with the helpful prompt, "Search for name or keyword.
Example 1
We are looking for Wellspan hospital. By typing "Wells," we quickly find the account we are looking for.
Clicking on the entry in the results will open the Account Details page in "View" mode. (As opposed to "Edit" mode.
Example 2
When we type in the more generic "Joe" in the search field, we get expansive results.
Some Observations
- Notice that the icon to the left of each entry matches the icon in the buttons across the top. This helps you to identify the type of record for each result.
- Therefore, we can see that the first two rows are physicians, and then there are three orders for Joe Smith.
- Observe the slider for the results. (arrow) There are lots of results in this broad search.
Choose the right record type
The buttons at the top of the search results are filters that can be toggled on and off. Once again, the image below shows the search for "Wells," but this time we turned the "Notes" on so that now there are more results available.
"Orders" and "Patients" are turned off.
Know which fields are searched
The results for any global search come from matching what you type into the search field with specific fields in each kind of record. For example, in the search in the image above, "Wells" is found in the Account name, and the Note is found because Wellspan is in the Event Subject where the note was entered. (See image.)
Use the following table to guide your searches.
Record Type being searched |
The fields from the record searched |
Contacts | First name, last name, and NPI |
Accounts | Name and NPI |
Referrals | Patient name |
Expenses | Business purpose and amount |
Orders | Patient first name, patient last name, and order number |
Patients | First name, last name and MRN |
Notes (from an event) | Description, subject, notes, next action step |
A good way to become familiar with how the search works is to type in some generic names and terms with all of the record type toggles on. Then, open some results to see what in the results matched the search.
Page Search
The page for each record type has a powerful search tool. The tool works identically for all record types, so we will show one example.
The Global search will search specific fields from all record types. The Page search works the same way, but the search only looks for records of the selected record type on the page. Let's look at Contacts.
Click on the record type in the left navigation that you want to search. For our example, we clicked on the "Contacts" button. The Contacts page opens.
The "Search Contacts" field is where you would enter your search parameters.
If you are searching on the Referrals page, the field will prompt with "Search Referrals." If you are searching on the Orders page, the field will prompt with "Search Orders." Etcetera!
The BIG difference between the Global search and the Page search is that you can choose the specific field you want to search from the records (see Example 2, below).
Example 1
Let's pretend that we know the name of the physician. Type the first name into the "Search Contacts" field and click the "Go" button.
Physician Mark Baran shows up in the results.
Some thoughts
- If there were more than one contact with the first name, "Mark," those contacts would show up in the table also
- If a duplicate, misspelled record showed up, for example, "Mark Baren," you could merge the two records as a bonus result of the search
- Once you have uncovered the contact (record) of interest through the search, you can click on the "View" or "Edit" links to examine or change details for the contact.
Example 2
Let's use the "search by" dropdown. Imagine that we want to find all contacts who work at Wellspan hospital.
- Type "Well" into the "Search Contacts" field
- Select "Account" in the "Search By:" dropdown
- Click the "Go" button (not shown)
The results of the search are shown below.
Final comments
- In many cases, the number of results from your search will be large. In order to view more results in the table on the page, you can increase the number of entries shown in the table by choosing a larger number in the "Display" dropdown below the table.
- Searches for all other record types will work similarly. The options in the "Search By:" dropdown will be different based on the metrics shown in the table for each different record type.
