Overview
On the Leads page in Marketscape CRM you can create and manage your leads. If you have been using Marketscape CRM, the layout and tools on the Leads page will be familiar.

Common Features
Click on the "Leads" button in the left navigation to open the Leads page. |
The page shown in the image below will open. Use the image to examine the main features described below.

Create New Lead - click on this button to create a new lead.
See Create New Lead below for details.
Views - A "View" is a set of parameters you can set that will customize what is shown on the Leads page. This includes which columns to show in the table, filters that determine which leads to display, and a sort order for the content. The dropdown menu and links in this feature allow you to create (or delete) a view, edit an existing view, and choose which view is currently being viewed.

Filters - If your list of leads is so large that you can't scroll through the table to find the lead you want, you can search the table using the search field. The "Search by" drop down allows you to choose which column is searched. Examples:
- Set the "Search by" dropdown to "Name" and type a name of a lead in the "Search" field. Click the "Go" button and only leads with the chosen name will be shown in the table.
- To find all leads connected to a specific account, set the "Search by" dropdown to "Account" and type a name of an account in the "Search" field. Click the "Go" button and only leads connected to the account will be shown in the table.
Use the "Sort by" dropdown to choose a column to use for sorting the table
Actions - To the left of each row in the table there are three options -
- The checkbox allows you to select multiple leads at a time so that you can apply the following bulk actions to the selected leads:
- View - This opens the details page for the chosen lead. You can only look at the details in this mode. To makes changes, use the "Edit" link instead.
- Edit - This opens the details page for the chosen lead in edit mode.
The details page displays the same content for a lead whether it is opened in "View" mode, "Edit" mode, or when a new lead is created. To see what is visible on the details page, see Create a New Lead, below.
Leads table - This table will show your current leads.
Bulk Actions - These are the actions you can choose when you have selected multiple leads by clicking the check box at the left side of each row.

Merge Records - This option will merge a number of records into a single record. Click on the check boxes to the left of the desired leads and select "Merge Records" from the Bulk Options dropdown. The following example shows how we would merge Alex Scurven and Alexander Scurven.
- Since two or more records might have other differences, you will need to select what information you want to keep in the merged record. Select the cell you want in the table shown below in the blue box by clicking on the cell with the desired information.
- You can choose who has ownership. In the image below, the same user had been assigned to each original record, so you only need to select one. If there were two different users, you could maintain both as owners by activating the check box to the left of each name.
- Click the "Merge" button.

Mass Update - Make multiple changes to a group of selected leads. Click on the check boxes to the left of the desired leads and select "Mass Update" from the Bulk Options dropdown.
- Step 1: You can select multiple fields to update, then click the "Continue" button.

Step 2: Make Changes.
- Click on each of the fields to make the changes you desire, then click the "Continue" button.

Step 3: Review
- You can review your changes before you click the "Continue" button. Click the "Back" button to make changes.
- Click the "Save Updates" button when you are done.
All changes are immediately applied to the selected leads.

Assign Shared Owner - This allows you to assign an owner to multiple leads at once.
- After selecting a group of leads and selecting "Assign Shared Owner" you will see the following:

- Click on the empty field or the magnifying glass icon to open a list of users.

- Click on the "Select" link to the left of the user for whom you want to add ownership. The "Find a User" dialog box will close and you will see the user listed in the field in the previous dialog box.

- Click on the "Save" button to complete the task.
The user will immediately be added to the selected leads.

Remove Shared Owner - This option in Bulk Options will allow you to remove a user from having ownership for multiple leads at once.
- After selecting a group of leads and selecting "Remove Shared Owner" you will see the following:

- Click on the empty field of the magnifying glass icon to open the following dialog box:

- Click on the "Select" link to the left of the user for whom you want to remove ownership. The "Find a User" dialog box will close and you will see the user listed in the field in the previous dialog box.

- Click on the "Save" button to complete the task.
The user will immediately be removed from the selected leads.
- Request Ownership - This option allows you to request ownership of multiple leads.
Find Duplicate Leads - This is useful if you have so many leads that you can't scroll through and identify duplicates. Click on the "Find Duplicate Leads" link near the bottom of the page. The Duplicate Lead Checker page opens.
- Which option you choose at this point depends on what you are trying to accomplish. Let's look at possible scenarios
- If multiple users know Joe Jones and create leads for him, AND both users spell his name correctly, you could click the "Name" checkbox, and you would find all entries with the name "Joe Jones." You could then verify that all leads are the same person, merge all of the records, AND have all of the users share ownership. Clicking the "Name" checkbox will only work for records that included "Joe Jones." "Joseph Jones" or "Joe J. Jones" will not be identified as duplicates.
- Clicking on the "Phone" or "Email" checkboxes could be more likely to find exact matches. Certainly a cell phone number or a specific email address is generally associated with a single person, but users could potentially enter different phone numbers (cell and office numbers) or different email addresses. In the latter cases, you will not find matches.
- Using the "Account" Checkbox will limit the leads shown in the "Duplicate Lead Checker" page to leads connected to a single account. If you then scrolled through the list, you could more easily find matches because you would not be viewing the clutter of leads connected to other accounts.
- Continuing with the example, we clicked the "Phone" checkbox and received the following:
We found two pairs of records that need to be merged.
- Since Alex and Alexander are the same person, we clicked the checkboxes to the left of the matching records.
- Then click the "Merge Selected" button. The following "Merge Tool" page will open.
- Click on the fields to select which details you want to include in the merged record.
- Then click the "Merge" button. You will be asked to confirm the process.
What about the other pair of records?
The "Find Duplicate Leads" process shown above uncovered two pairs of leads that needed to be merged. You can only merge one set of records at a time. If we had clicked the check boxes for Alex and Alexander and the two records for Talia, as in the image below, merging would combine all four records into one.
Create a New Lead
To create a new lead, click on the "New Lead" button at the top of the Leads page.
The following image shows the "Leads Detail" page. For the example below, we have filled in some of the fields.
Use the image as a reference for the details listed below.
List of Fields
The fields described in the chart below are all displayed when you create, edit, or view a lead.
Views
Views allow you to change what fields are shown in the table on the Leads page, and how the table is filtered and sorted.
Any view can have any name that you assign to it. In the image below, the "All Leads" view shows the user all leads assigned to them. As an account administrator, we created a view called "Really all leads" that shows all leads for all users in the demo company.
Whether you create a new view or edit an existing view, you will see the same page and options as shown in the images below. If you create a new view, the creation steps are laid out for you. Editing an existing view has the same options.
Step 1 - Name
Choose a name for your view that will help you to identify it easily in the drop down list. In this case, we named it after the account we intend to use in the filter; Wellspan hospital.
Step 2 - Fields
Choose the fields that you want to display in your view. A complete list of the fields with descriptions can be found above. Move the fields you want to display into the right window, by selecting the field by name on the left and clicking >>.
The links to the right; Top, Up, Down, and Bottom allow you order the entries in the table.
Step 3 - Simple Filter Criteria
You can set the simple filters to limit the results shown in the Leads table based on the criteria described below.
View Results for:
This filter limits the leads in the table to the different groups of users shown in the dropdown menu
- My Team - Your account administrator will set up who the members of your "team" are. Choosing this filter will show all leads owned by members of your team.
- Me Only - This filter will limit the leads in the table to only those owned by you.
- Specific users - Clicking on this option will open the following interface that will allow you to add specific users to your filter

- Click the "Add User" link to add a user
- When you have added the users you desire, the filter will limit the table to leads owned by your selected users.
- Unassigned - Choosing this filter will show only leads who do not have an owner. This might be an easy way to pick up some leads with potential who are not receiving attention.
Date Range and Type
These dropdowns allow you to narrow the leads displayed even further. Details to the left of the image
Step 4 - Advanced Filter
To make the view even more narrow, you can use the advanced filters.
For this example, we want to show only leads who are associated with a specific account - Wellspan York Hospital.
- Choose a field - these are the columns in the table
- Choose an operator - options depend on the field chosen.
- Specify a value - since we selected the "Account" field, when we clicked on the value field, the "Find an Account" dialog box opened which allowed us to choose the specific account we wanted.
The advanced filters can be stacked to provide results of high specificity.
Step 5 - Sort Order
Choose which columns are used to sort the entries in the Leads table.
Step 6 - Visibility
You can make the view you create available to others, or just to yourself.
Leads in Marketscape CRM Mobile
The Marketscape CRM mobile app provides access to most of the same features as the Web app. You can create, edit, and filter your leads, and manage ownership. If you are viewing a Leads Detail page, you can make a phone call or send an email directly from the page. The only major missing feature is "Views," which only works on the Web App.
Navigate to Leads
To open the Leads page, click on the three bars at the top left to open the navigation menu Scroll down until you see Leads in the navigation menu. Tap the "Leads" link in the menu. |
The Leads page will open.
Leads Home page
Your leads will be listed as shown in the image below. Use the image as a reference for the details below.
Navigation Menu - The three-bar icon at the top left of most pages in Marketscape CRM mobile will open the main navigation.
Leads Status Filter - Tap on the funnel icon, then click on the "Lead Status" dropdown.
Any status you select will limit the leads displayed on the page to those that match the selected lead status.
Create New Lead - If you click on the "+" at the top right of the Leads page, the "Create Lead" page will open. (shown at right)
If you are pressed for time, you can enter only the lead's name. That is the only required field. You can fill out the remainder of the fields later. Descriptions of the fields can be found above.

Search - If you know the name of the lead you want to view, enter the name in the search field.

Create Event
Edit Lead
Make any changes you want to the lead's record and tap the save link.
Remove Ownership
Tap this option in the menu to remove a shared owner from the record.
